Volunteer opportunites

As a participating Non-Profit Partner, Lawndale is asked to provide volunteers to help staff the festival.  Help us do our part in raising money not only for Lawndale, but many other participating non-profit partners. Your efforts will be multiplied as you help organizations throughout the community by volunteering at just one event! Volunteers will receive a free t-shirt and free admission to the festival for the entire day of their shift.

Please note two important policy changes:
– All volunteers under the age of 18 must be accompanied by an adult, who must be volunteering with them at all times. We require one adult age 18+ for every five minors.
– We are no longer able to accept walk-in volunteers. You must be registered with one of our Non-Profit Partners, such as Lawndale Art Center, prior to the Festival in order to participate.

Pre-Festival Needs
Wednesday & Thursday, March 24–25

• Artist Check-In  (3-6 volunteers needed per shift)
On Wednesday and Thursday, you will be helping at the Artist Check-In booth to welcome our artists, pass out Artist Packets, answer questions and direct them to their booth locations for Move-In.  (Volunteers must be 18 or older)
Wednesday, March 24th between 12:30 PM and 6 PM
Thursday, March 25th between 9:30 AM and 2 PM
Thursday, March 25th between 1:30 PM and 8 PM

• Artist Load-In  (up to 30 volunteers needed per shift)
You will assist artists find their booth locations, answer questions and assist with vehicle traffic control to keep Load-In running smoothly. Inline skaters encouraged to assist with Artist Load-In. (Volunteers must be 18 and over)
Wednesday, March 24th between 12:30 PM and 6 PM
Thursday, March 25th between 9:30 AM and 2 PM
Thursday, March 25th between 1:30 PM and 8 PM

• Festival Set-Up   (3-5 volunteers needed)
On Thursday, volunteers are needed to help get the Festival ready. Duties may include setting up art materials at the Creative Zone, putting up signs/banners, unloading boxes, etc. (Festival Set-Up volunteers must be able to lift up to 40 pounds)

Creative Zone Assistant  (up to 20 per shift)
Creative Zone Assistants will work with Lawndale and other participating non-profit partners presenting art activities for children and their families! This year we are making a craft inspired by Spring and wind-energy, while other activities include mini art cars, sun prints, and painted rocks. Volunteers are assigned to the booths of the Creative Zone participants to supervise children with various art activities.

Volunteer Check-In  (4-6 per shift)
Volunteers needed to help check-in our volunteers, distribute T-shirts, direct volunteers to their assignment locations, etc. (Prior experience volunteering at the Bayou City Art Festival required)

Ticket Takers  (4-5 per shift)
Ticket Takers provide the critical “first impression” for Festival by welcoming our guests with a smile at the entrance gates, taking tickets and directing them to the Information booth for assistance if needed. (Small groups of up to 5 people are encouraged to register as Ticket Takers to work together. High school students may work as Ticket Takers as long as they register one responsible adult to supervise during their shift)

Greeters  (4-6 per shift)
Our Festival Greeters distribute Festival Programs and provide directions within the Festival grounds. Greeters should have attended the Festival at least once and be familiar with the Festival site.

Festival Information Booth  (2-3 per shift)
Answer guest questions, provide directions and provide support to festival-goers. (Information booth volunteers must have attended before and be very familiar with Festival)

Artist Hospitality Area Supervisors   (2-3 per shift)
Volunteers who are very familiar with the Festival are encouraged to volunteer as Supervisors for Artist Hospitality. Supervisors will welcome Artist Relief volunteers, provide a brief orientation and send the volunteers out to provide assistance to the artists. Supervisors will also welcome artists to the Hospitality Tent, answer questions, and provide information and assistance. (Must be 18 or over)

Artist Relations Relief  (up to 64 per shift)
Volunteers will teamed in pairs or small groups to roam assigned area of Festival to assist the artists by watching their booths during breaks, distributing materials, providing assistance and serving refreshments during the day. Artist Relations Assistants will also act as the Festivals “eyes and ears” in their assigned areas, noting any problems that may arise during the Festival. Artist Relations Assistants will be issued an “Artist Relief vest” for ease of identification by artists. (High school students must be appropriately supervised by an adult to provide Artist Relief)

Artist Hospitality Area  (2-3 per shift)
Help serve and host the artists and VIPs in the Hospitality Tent. Assignment may also involve transporting beverages or ice, answering questions using the provided FAQ or logging issues to be addressed by festival staff.

Patron Art Pick-Up Booth
Volunteers will staff booth where artists will drop-off purchased artwork so patron can pick-up art at the end of the day. Volunteers encouraged to sign-up with a buddy for this assignment. (18 and over)

Transportation  (up to 10 per shift)
These volunteers greet shuttles at the Festival and/or direct guests to the shuttles at the offsite shuttle locations downtown and at the Northwest Mall. Some shifts may include riding on the shuttle to be sure the route is running smoothly. (Volunteers must be over 18 and are encouraged to sign-up with a friend or two)

Stage Manager  (1-2 per shift)
Provide assistance to the live entertainers at the Festival Stage.

Other Needs

• First Look Friday Happy Hour  (4-8 volunteers)
Volunteers needed Friday afternoon/evening to set-up VIP Happy Hour, greet and register guests and other duties as needed.
Friday, March 26th 2 pm to 6 pm

• A Walk in the Art—VIP Event  (20 volunteers)
Volunteers needed to check in guests, greet guests, and other set-up duties as needed.
Saturday, March 27, 2010 6:30 pm to 10:00 pm

• Artist Load-Out  (up to 30 volunteers)
Volunteers are needed to help monitor artist load-out. Volunteers will ensure that, weather permitting, artists have disassembled their booths and moved them as much off the festival loop as possible. Once this is done, the volunteer will help the artist fill out their load-out pass and give the load-out pass to the artist once it has been completed so they may drive their vehicle into the festival loop to complete their load-out.
Sunday, March 28, 2010 6:30 pm to 10 pm

• Office Helpers
Help out in the Art Colony Association office (1418 Sul Ross St. near St. Thomas University) with copying, packet assembly and other office support needs. Weekday and limited weekend help during March. If you have a few hours to spare, please email elizabeth@bayoucityartfestival.com with your availability.

the festival’s registration form and volunteer instructions. While every effort will
be made to honor your assignment request, the Art Colony Association reserves the right to adjust volunteer assignments based on need at the time of festival check-in.
